Vetr AI (“Vetr”, “we”, “us”) provides an AI-native practice management and diagnostics platform built for mobile veterinarians. This Privacy Policy explains what information we collect through our website and software, how we use it, and the choices you have.

2. Information we collect

Account and business information: your name, practice name, email address, phone number, billing details, and service area when you sign up, book a demo, or submit a form.

Practice and patient data: as you use the platform, we process information you or your clients provide, such as client contact details, appointment details, SOAP notes, call recordings or transcripts used to draft notes, and patient records.

Diagnostic and lab data: results from diagnostics performed through Vetr Labs or integrated third-party laboratories.

Usage data: pages visited, features used, device and browser type, and approximate location derived from IP address, collected through cookies and similar technologies.

Communications: messages, emails, and call notes exchanged with our team.

3. How we use information

To provide the platform: schedule visits, generate SOAP notes, stream lab results, process payments, and communicate with clients on your behalf.

To improve our services: analyze usage trends, debug issues, and develop new features, including training and evaluating the AI models that power our note generation and virtual office staff, using de-identified data wherever possible.

To communicate: respond to inquiries, provide support, and send service updates and marketing you have opted into.

To meet legal obligations: comply with applicable laws, respond to lawful requests, and protect the rights, property, and safety of Vetr, our users, and their clients.

4. Patient and client records

Veterinary records processed through the platform are controlled by the veterinary practice that entered them. We act as a service provider for that data and only process it to deliver the platform and as instructed by the practice.

Veterinary practices remain responsible for maintaining records in accordance with the rules of their state licensing boards. We recommend you keep independent copies of all patient records.

5. Sharing of information

We share information only in these circumstances:

Service providers: vendors that host our infrastructure, process payments, deliver email, and support analytics, bound by contract to protect your data.

Laboratory partners: diagnostic submissions and results shared with the labs that perform the testing you order.

At your direction: when you choose to share records with clients, other practices, or third parties.

Legal and safety: when required by law, regulation, or valid legal process, or to protect rights and safety.

Business transfers: in connection with a merger, acquisition, or sale of assets, with notice where required.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

6. AI features

Our AI features (voice-to-SOAP notes, call answering, and related automation) process the audio, transcripts, and records you supply to produce their outputs. Depending on the feature, processing may be performed by us or by AI service providers under agreements that restrict the use of your data to provide the service.

Do not record calls or dictate notes without complying with applicable consent laws in your state.

7. Cookies and analytics

We use cookies and similar technologies to keep the platform running, remember preferences, and understand how the site is used. You can control cookies through your browser settings; disabling them may affect some functionality.

8. Data retention and security

We retain personal and practice data for as long as your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. Records you delete may persist in backups for a limited period.

We use encryption in transit and at rest, access controls, and other industry-standard safeguards. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Depending on your state, you may have additional rights regarding your personal information, and we will not discriminate against you for exercising them.

The platform is intended for veterinary practices and is not directed at children under 13. We do not knowingly collect personal information from children.
